Incoming patient call

Answered live, second ring

No IVR, no answering machine. I pick up as your front desk, so patients reach a person, not a prompt.

— The Problem

You didn't train for years to manage a phone line.

Between appointments, calls go unanswered — and a patient who reaches voicemail usually rings the next practice on their list. For a private practice, every missed call is a missed booking.

01

Missed calls, lost bookings

A call you miss mid-appointment is rarely a call that comes back. It's a patient who went elsewhere.

02

Hiring is heavy

A UK medical secretary costs £26,000–£35,000 a year plus National Insurance, pension and holiday cover. That's a lot of overhead for one phone line.

03

Call centres feel cold

Patients can tell when they've reached a script read by a stranger rather than someone who knows the practice.

— About Me

Hi, I'm Lunet — from Cape Town, South Africa.

With over 20 years of experience supporting executives and business leaders, I'm calm, organised and proactive. For the past three years, I've worked remotely in private healthcare, handling patient calls, appointments and day-to-day admin for a private practice.

Cape Town's time zone lines up closely with UK business hours, so I'm live through your working day without either of us working unsociable hours.

I work with a small number of practices, allowing me to provide reliable, personal support and give every client the attention they deserve.

Looking for a dependable front desk partner? I'd love to connect.

— The Working Relationship

What working together actually feels like.

When missed calls start costing you bookings, structured front-desk support becomes necessary — not a nice-to-have.

Not just answering — ownership

My role isn't just picking up the phone. It's making sure nothing gets dropped, and no enquiry goes unanswered.

No systems to overhaul

You won't need to change systems, train a staff member, or supervise daily work. I work within your existing tools and processes.

Informed, not responsible

You stay informed on what's happening, but you're no longer the one responsible for managing the front desk.

— Front Desk + Practice Admin

Your virtual medical secretary and receptionist.

Live UK-hours phone cover, plus the day-to-day admin that keeps your practice moving.

So you stay focused on patients — while I handle everything around them.

— Fit Check

Is Admin Anchor a good fit?

Admin Anchor is a good fit if you're a:

  • Private GP or consultant in private practice (surgeon, psychiatrist, physician)
  • Private psychologist or psychotherapist
  • Physiotherapist, chiropractor or osteopath
  • Private dentist or podiatrist running a single-practitioner clinic
  • Solo practitioner whose phone goes to voicemail while you're with a patient
  • Practitioner whose calls are covered but whose admin is piling up

Admin Anchor may not be right if you:

  • Are an NHS practice, or a multi-site group with existing reception staff
  • Need social media management, marketing, or sales outreach
  • Are mainly looking for bookkeeping or accounting services

Why clients choose Admin Anchor

  • • A clearly defined scope so tasks stay focused and predictable
  • • Reliable coordination for inbox, scheduling, and follow-ups
  • • A focused client portfolio for consistent, responsive support
  • • Straightforward monthly packages, no long-term employment commitment

Admin Anchor provides professional administrative support — this is a service partnership, not staffing or outsourcing.

— Support for Private Practitioners

Confidentiality & Professionalism

I work with clear boundaries, respect patient confidentiality, and follow agreed processes for every call and enquiry. Because I'm based outside the UK, there's some UK GDPR paperwork your practice will need in place before we go live — I'll guide you through it, using the ICO's own official templates, so it's straightforward rather than something you have to work out alone.

Simple to start. Straightforward to keep running.

01

Conversation

A relaxed 20-minute call to understand your practice needs, confirm fit, and answer any questions.

02

Setup

We connect your existing phone and booking setup, agree your coverage hours, call-handling script and escalation process, and complete the GDPR paperwork — all before a single call is answered.

03

Ongoing Cover

Your line is answered live during agreed hours, with weekly check-ins during the first month.

— The Comparison

Remote front desk vs. hiring a medical secretary.

Recommended

Working with Admin Anchor

  • A fixed monthly fee with no employment costs attached
  • Flexible support without long-term contracts
  • No employment administration or payroll obligations
  • No office space, equipment, or onboarding overhead
  • Coverage matched to when your practice actually needs it
Traditional Route

Hiring a Medical Secretary

  • £26,000–£35,000 a year before National Insurance and pension
  • Payroll, holiday cover, and sick leave to manage
  • Time and cost of recruiting and training
  • Desk space and ongoing management
  • Less flexibility to scale support up or down

Admin Anchor works well for solo practices that need reliable front-desk cover while deciding when a full-time hire is truly necessary.

— Tools I Work In

I work inside the tools you already use.

Nothing new to learn on your end — I adapt to your existing workflow to keep things simple and efficient.

Google Workspace Microsoft Office Practice Management Software Calendly Zoom WhatsApp Trello ClickUp

— Proven With Live Practice Reception

Trusted with live reception, day after day.

For three years I've handled patient calls, appointments and admin for private practices — reception that runs quietly in the background so the practitioner doesn't have to think about it.

"Before Lunet, I was spread extremely thin — I couldn't answer the phone and see my clients for their full hour session. Once she took over my calls and admin, it put the focus back on my clients and took away all my admin headaches. My calls actually got answered instead of going to voicemail, and I finally got time back to focus on counselling."

— Ri, Couples Counsellor, Durban North (@headspacewithri)

I'm now building the same live front-desk support for UK private practices, with UK-hours coverage and UK GDPR-aligned data handling built in from day one.

— Let's See If This Would Help

The easiest way to know is a short conversation.

We'll briefly look at how calls are currently handled, where enquiries are getting missed, and whether cover would make sense for your practice. You'll leave the call with a clear next step — whether we work together or not.

— FAQ

Good to know before we talk.

Start by booking a 20-minute intro call. We'll confirm fit, discuss priorities, and decide on the best support option.

I work within your existing tools and systems, including Google Workspace, Microsoft 365, and task or CRM tools as required.

On the phone-cover packages, calls are answered live during agreed coverage hours — usually by the second ring. Messages and enquiries received outside those hours are handled at the start of the next coverage window. On the Practice Admin packages, emails and text messages are checked through your hours of cover, with same-day replies.

No — packages cover your phone line during agreed hours rather than a bank of hours, so there's nothing to track, count or carry over.

Yes. Bringing in support from outside the UK counts as a restricted transfer under UK GDPR. As the data controller, your practice puts a Data Processing Agreement and an International Data Transfer Agreement in place with me, and completes its own transfer risk assessment. I provide the information you need for that assessment and walk you through the paperwork using the ICO's own official templates, so you're not starting from scratch — but the assessment and the decision remain yours.

I'm based in Cape Town, South Africa, working UK business hours — the time difference lines up well with the UK working day. Exact hours of cover are confirmed during our intro call.
